FAQ

Is this secure enough for bank statements and tax returns?

Yes. Files move over TLS-encrypted connections and are delivered into your own cloud storage through your provider's OAuth2 sign-in, so we never see your password. We don't keep your files: the temporary copy is removed automatically once delivery is confirmed. There's more detail on the security page.

Can I organize uploads by client automatically?

Yes, on the Business and Premium plans. Dynamic file organization creates a folder for each client from your form fields, so every submission is delivered to the right folder without anyone sorting it. When a client already has a folder, new uploads go into it instead of creating a duplicate, so everything for that client stays together. You set the rule once and every upload follows it. Can clients send photos of receipts from their phone?

Yes, and there is nothing for them to install. The form works in any mobile browser, so a client can photograph a receipt or pull a statement out of their banking app and send it in the same pass. Photos are sent at full original resolution rather than the compressed version that comes through a text message, which matters when someone needs to read the total off a receipt six months later. A standing monthly link plus a phone camera is how most recurring clients end up using it.

Can more than one person at my firm get notified when a client uploads?

Yes, on every plan. Notifications can go to three groups: the person who uploaded, your team, and an optional third party such as a partner or reviewer. Each group gets its own message, so the right people know a client's documents have arrived without anyone forwarding emails around. See Set up email notifications.

Do my clients need an account to upload?

No. Anyone with your form link can upload, with no account, no app, and no sign-in of any kind. They open the link, drop their files, and they're done. The cloud connection is yours alone, and your clients never touch it.

Will I have a record of what each client sent and when?

Yes, on every plan. Every form has its own submissions inbox, and each submission is dated and stored with the form responses that came with it alongside every file that client uploaded, including each file's name, type, and size. There is a single search box covering your whole account, so you can find a submission by client name or file name without remembering which form it came through, and the whole record exports to CSV whenever you need it in a spreadsheet.

Can my whole firm use one account?

Yes, on the Business and Premium plans, up to 20 users. Forms can live in a shared team workspace, and access is set form by form: a staff accountant can be given access to one client's submissions without being able to change how the form is built. One thing worth checking on a shared form is its upload destination, because files are delivered to whichever teammate's connected cloud account is selected there rather than to the firm generally. For anything the whole firm works out of, point it at a shared team folder.

Does this work alongside QuickBooks Online or Xero?

There's no direct integration with QuickBooks Online or Xero, but it doesn't need one. Files are delivered to your own cloud storage, which is where your bookkeeping software and your team already pull documents from. EZ File Drop handles the collection; your existing tools handle the rest.

How is this different from SmartVault or Canopy?

Those tools give your clients an account and a login, share documents in both directions, and bundle a stack of practice-management features. EZ File Drop does one thing: it collects documents from clients into your cloud, through a branded form, with no login for the client.
